ServiceM8 integration help

The ServiceM8 integration is built and supported by Pipereply. For help with it, contact us at support@pipereply.com or call 0483 985 903 rather than ServiceM8 - the same team that built it will look after you.

What you need to know

Works where your team works

Your field team keeps using ServiceM8 on the Online Dashboard and the App, with nothing to change.

Free to connect

The integration itself is free. It needs an active Pipereply subscription, and new accounts start with a 14-day free trial.

Australia, for now

The integration is available for Australian ServiceM8 accounts.

Getting started

Connect it yourself in three steps

  1. Click Connect

Open the ServiceM8 Connect link from your Pipereply account.

  2. Approve access

Sign in with your ServiceM8 login and approve Pipereply's access.

  3. Choose when jobs are created

On the "You're connected" page, pick the stage that creates a ServiceM8 job: a new enquiry, "Ready to Quote" or "Won Job Created" (the default). You can change it later in the settings portal.

How it works

Using Pipereply with ServiceM8

More on how it fits together is on the ServiceM8 integration page. Anything not answered here: support@pipereply.com or 0483 985 903.

When is a job created in ServiceM8?

At the stage you chose when you connected: as soon as a new enquiry comes in, at "Ready to Quote", or at "Won Job Created" (the default). Each opportunity creates one job. If a job is created early, it becomes the work order when the opportunity is won - never a second job.

What comes back from ServiceM8 into Pipereply?

When a quote is sent, the opportunity moves to "Quoted". When the quote is accepted, it moves to "Won Job Created" and is marked won. When the job is scheduled, it moves to "In Delivery", and when the job is completed, to "Complete". The "JMS Job Status" field mirrors the job status in ServiceM8 (New, Scheduled, In Progress, On Hold, Ready to Invoice, Complete). Stages only ever move forward.

What happens when a quote or opportunity is lost?

It works both ways. A quote declined in ServiceM8 marks the opportunity as lost in Pipereply, with the outcome reason "Not interested" by default, which your team can change. Marking an opportunity as lost in Pipereply sets a job that is still a quote to "Unsuccessful" in ServiceM8. A job that is already scheduled or in progress is left alone, and your team gets a note instead.

Are notes synced?

Yes. Notes are copied both ways, and a link to the ServiceM8 job is added to the contact in Pipereply as a note.

Does my field team need to change anything?

No. Your team keeps working in ServiceM8 exactly as today, on both the Online Dashboard and the App.

What data can Pipereply access in ServiceM8?

With your approval, the integration can access clients, client contacts, jobs, job contacts, materials, notes, attachments, schedule, staff and account details. It uses them only to keep ServiceM8 and Pipereply in step. How we store and protect that information is set out in our privacy policy.

Access has expired or was revoked. How do I reconnect?

Use the Connect link again and approve access with your ServiceM8 login. Your settings, including the stage that creates jobs, carry over. If it still will not connect, email support@pipereply.com and we will sort it out.

How do I change the stage that creates jobs?

In the Pipereply settings portal, at any time. The change applies to opportunities from then on.

How do I disconnect, and what happens then?

Remove Pipereply's access in your ServiceM8 account, or email support@pipereply.com and we will disconnect it for you. Syncing stops in both directions. Jobs already in ServiceM8 stay there, and the job number and job status stay on the opportunity in Pipereply.
